The team at The Balanced Life is looking for a passionate and energetic Executive Assistant to partner with CEO & Founder to ensure her schedule, projects, and commitments are executed with excellence.

This position will require a combination of virtual and in-person work. 

This Executive Assistant position might be PERFECT for you if you’re a positive, tech savvy, and organized self-starter with experience in a similar role.

You’re a high-energy, organized, and experienced assistant with no problem juggling tasks and responsibilities. 

Supporting others is your thing. Satisfaction for you means taking care of the little (and big) things that help leaders lead more effectively and families function with ease.

You’ll be responsible for making sure her team, clients, and peers have a high-touch, intimate and professional experience with her, while also helping to ensure that everything on the home front runs smoothly.

You must be a strategic thinker with clear, quick, and effective communication skills.

Attention to detail and interpersonal skills that ensure discretion and confidentiality are essential.

You must live in the Santa Barbara area and have availability Monday-Friday between 9-5 PST (there is some flexibility in the schedule but if you're working multiple jobs and don't have a schedule that can work around this role, it's not a good fit.) This has the potential of being a full-time position, but will begin with approximately 25-30 hours per week.

During busy seasons or events, occasional mornings, evenings, and weekend help will be needed.

In order to thrive in this role, you must also love kids! We are a busy Santa Barbara family with 4 kids (ages 9 and under). Our home is full of life and we are looking for someone who will love our kids and ENJOY supporting our work and family on a daily basis.

So what will you do?

  • Manage CEO’s Google calendar, appointments, travel, meetings, and some personal commitments.
  • Manage CEO’s inbox and provide a high-level of responsiveness and problem solving skills aligned with a warm and professional attitude.
  • Act as CEO’s handler — you’ll be in charge of helping keep her time and schedule in order on her behalf.
    • Example duties include:
      • Planning and booking travel. Alongside thinking through and executing on all of the additional aspects needed to be accomplished to support the trip. 
      • Collaborating with other key team members to prepare for upcoming events and projects.
      • Set up meetings using Zoom and make sure the CEO is fully prepared to host or participate. 
      • Writing, proofreading, and the ability to capture CEO’s ideas and turn them into written text (emails, team communications, etc.). 
      • Helping to manage files, documents, and photos while maintaining an extremely organized structure.
      • Facilitating changeovers between guests at the family rental property (on average 1-2 times per week; preparing welcome basket, managing inventory of household items)
  • Run household & business errands. 
  • Occasional school pick up and childcare (pick up 1-2x per week). 
  • Schedule family appointments.
  • Online ordering. 
  • Coordinate and assist with 3-4 day team summit events, 2-3 times per year. 
  • Assist with planning and execution of photo shoots and video shoots, 1-2x per month. You’ll work with the team to be on the on-site production assistant to ensure the vision for the shoot is fulfilled and all of the shots/videos are captured.

This position is for you, if you...

  • Have experience assisting an entrepreneur and/or CEO
  • Have experience with kids and/or childcare.
  • Have a strong ability to manage multiple responsibilities daily. Set up calendar appointments, send out correspondence, run errands, plan events, book travel, pick kids up from school…all in a day’s work!
  • Are a thinker and a doer. You don’t need to be told what to do — you’re innovative, resourceful, and able to anticipate what needs to get done.
  • Are a self-starter with the ability to be productive from your home office. 
  • Have a positive, high-energy attitude and a get-it-done mindset that searches for solutions instead of focusing on struggles is essential. You think about your work in terms of outcomes and results, not hours worked.
  • Are highly organized and able to anticipate calendar needs well beyond this week.
  • Have an interest in engaging with the CEO’s team, peers, and clients while communicating on her behalf and doing so with kindness and grace.
  • Have a high level of professionalism and emotional maturity.
  • Are detail oriented and driven to complete things excellently. 
  • Are invested in becoming the best you can be and excited to work with a boss who’s happy to help you get there!
  • Are responsive and communicative. You know how to close the loop and confirm assignments are received and completed in a timely manner. 
  • Are Incredibly technically competent and current. You must understand how to manage the following systems:
    • Working knowledge of Google Calendar + G Suite
    • Working knowledge of Zoom meeting
    • Working knowledge of Mac products
    • Working knowledge of Voxer (voice messaging app)
  • Have excellent writing and verbal communication skills — you have a knack for putting ideas into words and ensuring everyone is on the same page
